To operate the BNI chapter management platform effectively, we collect the following information from members and administrators:

• Name, email address, phone number, and WhatsApp number
• Profile image, company name, company logo, and website
• Date of birth, joining date, address, city, country, and zipcode
• Chapter membership, assigned roles, and business categories
• GAINS profile: goals, accomplishments, interests, networks, and skills
• BIO profile: previous jobs, hobbies, city of residence, and personal statements
• TOPS profile: ideal referral, top products/services, and BNI stories
• Attendance records, meeting participation, and weekly presentation history
• Gallery photos, top client logos, social media links, and business location

Member data is used exclusively to operate and improve the BNI chapter management system:

• Managing chapter membership, roles, and user profiles
• Tracking attendance at chapter meetings and events
• Sending automated communications such as birthday wishes and meeting reminders via WhatsApp
• Generating leaderboards, referral tracking, and chapter performance reports
• Enabling member discovery within a chapter through profile pages
• Improving platform features and overall user experience

Business location information (such as Google Maps links) may be stored as part of a member's profile to help other chapter members locate their business. This data is:

• Provided voluntarily by the member or their chapter administrator
• Visible only to other members within the same chapter
• Used solely for business networking purposes within BNI

Member information is not sold, rented, or shared with third parties for commercial purposes. Data may only be accessed by:

• Chapter Presidents and Vice Presidents for managing their own chapter's members
• Platform administrators for system-wide management and support
• Communication providers (e.g. Twilio/WhatsApp) solely to deliver notifications you have consented to
• Legal authorities when required by applicable law

We take reasonable measures to protect your personal information:

• Passwords and credentials are encrypted and never stored in plain text
• File uploads are stored on secured servers with restricted access
• Access to admin features is controlled through a role-based permission system
• All platform connections use HTTPS encryption in transit

• Active member profiles are retained for the duration of their chapter membership
• Attendance and meeting records are retained for chapter reporting purposes
• Upon membership termination, data may be retained for a reasonable period to meet legal obligations
• Members may request deletion of their data subject to any overriding legal requirements

As a BNI chapter member, you have the right to:

• Access the personal information held about you
• Request corrections to inaccurate or incomplete data
• Request deletion of your personal data, subject to operational requirements
• Opt out of WhatsApp notifications by contacting your chapter administrator

• Administrators can only view, create, and edit members within their own chapter
• They cannot access data from other chapters
• Administrator actions are subject to the same data handling obligations as platform-wide administrators
• Administrators are responsible for ensuring member data they enter is accurate and consented to

The platform may send automated WhatsApp messages to members. These include:

• Birthday wishes on your registered date of birth
• Meeting reminders for upcoming chapter meetings
• Event notifications relevant to your chapter

This Privacy Policy may be updated from time to time to reflect changes in our platform, legal requirements, or operational practices. When we make material changes, we will update the effective date shown at the top of this page. Continued use of the platform after any update constitutes acceptance of the revised policy.
